REMTON Career & Mentorship Centre (“REMTON”, “we”, “us”, “our”) respects your privacy and is committed
to protecting the personal data we collect about seminar participants, mentees, mentors, partners,
website visitors and job/applicants.
This policy explains what personal data we collect, why we collect it, how we use it, how we protect it,
your rights under Ghana law, and how to contact us. REMTON processes personal data in accordance with
the Data Protection Act, 2012 (Act 843).
This policy applies to all personal data REMTON collects or processes whether collected:
• in person at REMTON events, seminars and meetings;
• via our website, social media pages, email or phone;
• from partners, education institutions or public sources; or
• from forms submitted for mentoring, volunteering, internships or jobs.

(Although Act 843 does not strictly require every organisation to appoint a Data Protection Officer,
the Act allows appointment of a certified Data Protection Supervisor and REMTON recommends one be named
for compliance and queries).
We collect only what is necessary for the services we provide. Examples:
Identity & contact data: name, date of birth, gender, postal address, telephone number, email.
Education & career data: school/college, course, year group, grades, CV, employment history, references.
Program participation data: applications, mentor–mentee matching records, attendance, feedback, portfolios.
Special categories (sensitive): health information (e.g., for medical/safety needs at events), religious affiliation
(only when required for a specific program). (Processing of special categories follows the Act’s stricter requirements.)
We process personal data where one or more of the following lawful bases apply under Ghana law:
• Consent (e.g., for marketing or sensitive data).
• Contract/Performance (e.g., mentorship or scholarship programs).
• Legal obligations (required by law or public interest).
• Legitimate interests (administration, security, fraud prevention, service improvement).
Where we rely on consent, you may withdraw it at any time; withdrawal does not affect processing already lawfully undertaken.
We use personal data to:
• manage seminar/event registration, attendance and logistics;
• match mentors and mentees and administer the mentorship program;
• communicate about REMTON programs, opportunities and resources (with opt-in consent where required);
• process applications for internships, scholarships, volunteering and jobs;
• maintain records for safety, safeguarding and emergency contact;
• comply with legal obligations and respond to lawful requests;
• analyse and improve our programs and services (anonymised where possible).
We will not use data for purposes materially different from those notified unless further notice is provided.
REMTON recognises that many Secondary (SHS) participants are minors. Where we collect personal data
from students under 18 we will:
• obtain parental/guardian consent;
• present privacy information in age-appropriate language;
• minimise collection/retention to what is necessary.
REMTON will require parental/guardian consent for participants under 18 unless otherwise agreed in writing.
We may share personal data with:
• REMTON staff and authorised volunteers/mentors;
• partner organisations, schools, or employers (with notice and lawful basis);
• service providers (IT hosting, mailing, payments) — bound by contract;
• law enforcement, regulators or the Data Protection Commission where required.
If transferring data outside Ghana, REMTON will ensure adequate safeguards and notify you.
REMTON retains data only as long as required. Example retention periods:
• applications: 3 years;
• alumni/mentorship: 6 years (or until opt-out);
• contact enquiries: 1 year;
• financial/donation records: 7 years.
Data is securely deleted or anonymised after retention periods.
REMTON applies organisational, technical, and physical measures to protect data, including:
• limited staff access;
• encrypted devices and backups;
• password/two-factor authentication;
• staff/volunteer training;
• vendor contracts with data protection clauses.
If a breach occurs REMTON will:
1. contain and investigate;
2. notify the Data Protection Commission and affected individuals where harm is likely.
Under Act 843 you have rights to:
• access your data;
• request correction or erasure;
• object to harmful processing or marketing;
• withdraw consent;
• complain to the Data Protection Commission.

REMTON will register with the Data Protection Commission where required under Act 843, renew certificates, and cooperate in audits, complaints, and investigations. Records of processing will be maintained.
REMTON may update this policy to reflect changes in law, technology or services. Updates will be published with revised dates and notices where appropriate.
By using REMTON’s services or submitting data you acknowledge this Privacy Policy and consent to
processing (where consent is the lawful basis).
